Prometheus ERP deployment for Zutron Pharmaceuticals (Ghana)

Zutron Pharmaceuticals is a pharmaceutical and laboratory products company headquartered in Accra, Ghana. Promatics deployed Prometheus, our ERP built on ERPNext, for its Ghanaian operation.

The challenge

Zutron Pharmaceuticals is headquartered in Accra, Ghana. It supplies pharmaceuticals, diagnostics, laboratory consumables, medical supplies and equipment, and serves customers across Ghana from warehouses in several regions.

For a business of this shape, the ERP has to handle:

  • Stock in several locations, with transfers between warehouses and a reliable view of what is available where.
  • Batch and expiry control, so that short-dated products are managed actively and recalls can be traced to customers.
  • A varied customer base of hospitals, pharmacies, clinics and other buyers, often on different prices and credit terms.
  • Imported products, where the true cost of stock includes freight, duties and clearing charges.
  • The head-office view, with finance and management reporting that the company's operation in Nigeria can follow as well.

When warehouses, sales and accounts run on separate tools, stock figures drift from the books and expiry exposure is found late.

What we implemented

Promatics deployed Prometheus, our ERP built on the open-source ERPNext platform, for Zutron Pharmaceuticals in Ghana.

Prometheus brings accounting, sales, purchasing, inventory, CRM, administration and human resource management into one system. Its distribution and healthcare capabilities include:

  • inventory control across multiple warehouses and stores;
  • batch-managed items with expiry dates, returns and credit notes;
  • landed cost vouchers, taxes and charges, and multi-currency accounting;
  • automated stock replenishment, reorder levels and material requests.

This summary records the deployment at the level we can confirm publicly. It does not list every module configured or every process changed.

Results

The project was completed as a Prometheus deployment for Zutron Pharmaceuticals in Ghana, alongside the Prometheus deployment for Zutron Pharmaceuticals in Nigeria.

We have not published measured outcomes for this project, and we do not add figures after the fact.

What this means for your organisation

A distributor with warehouses in several states or countries, or a head office that must consolidate more than one business unit, has the same needs this project addressed. This is a West African home-market example, and the lessons apply to Nigerian organisations operating regionally.

  • Multi-warehouse stock with transfers recorded as transactions, not adjusted by hand at month-end.
  • Expiry reporting that shows what is at risk in time to act on it.
  • A head-office template. Configure the core processes, item structure and reports once, then roll them out to each location or entity.
  • Regulated product handling. Pharmaceutical and medical product distributors in Nigeria have licensing, record-keeping and recall duties, including those overseen by NAFDAC; the ERP should make the required records easy to produce. Confirm the specific obligations with your regulatory adviser.
  • Hosting that fits your rules. Prometheus can run in a local data centre in Lagos or Abuja, in a cloud region abroad, or on premises, chosen in line with the NDPA's rules on transfers outside Nigeria.
